Dance Camp Wales holds personal information about everyone who books a place at camp. This page explains what we hold, why we hold it, and what you can ask us to do with it.
What we hold
When you book a place, we keep the details you gave us at checkout:
- Your name, and the names of anyone you booked for
- Age group, and date of birth for children and young people
- The name and details of a parent or guardian, for anyone under 18
- Email address, phone number and postal address
- Which ticket you booked, and which year
- Your work role at camp, if you have one
- Whether you asked for a lift from Narberth station
- Whether you asked to go on the camp contact list
- What you paid, what is still owed, and how you paid it
- Any notes we needed to make about your booking
We never see or store your card details. Payments are handled by an external payment provider, and nothing from the card reaches this website.
Why we hold it
Almost all of it exists to run your booking and to run the camp. We need to know who is coming, who has paid, who is arriving by train, and who is responsible for each child on the field. Some of it we are simply obliged to keep – payment records have to be kept for our accounts.
We do not sell your information, and we do not pass it to anyone outside Dance Camp Wales except the payment provider that takes your payment.
Who can see it
A small number of volunteers – the people who run the shop, the bookings and the camp itself – have accounts on this site that let them see the booking database. Nobody else does.
The camp contact list is the one thing other campers can see, and only if you asked to be on it. If you would rather come off it, tell us and we will take you off.
How long we keep it
We keep bookings from year to year. It means returning campers do not have to type everything in again, and it means we know who has been before. If you would like us to remove yours, you can ask us to.
What you can do
Under UK data protection law the information is yours, not ours, and you can ask us to do something about it at any time.
- Ask for a copy of your data, or ask us to correct it

— we will remove what we are allowed to remove. - Change your privacy preferences
— review what you have agreed to on this website. - Make a complaint
— if you think we have handled your information badly.
You will not be charged for any of this, and asking will never affect your booking or your welcome at camp.
